MTL Document Services offers high quality, ISO 9001:2000 accredited document scanning services, at cost effective prices. Our high-capacity scanning suite has the flexibility to convert large volumes of documents within tight timescales, or provide a rapid response to smaller volumes, freeing up valuable office space and saving money.

As part of our Quality Management System, all document handling procedures are fully documented. A brief summary of the typical processes are:

Collection
MTL operate a UK-wide collection service for documents, using our own unmarked, alarmed vans for maximum security. We are also able to provide archive boxes and a box-filling service if required.

Document Preparation
Prior to scanning documents, all paperwork is prepared into a scanner-ready format, with any staples removed, documents removed from files, folded pages corrected and drawings separated from documents. Our experienced team of document preparation staff are fully trained in all aspects of this process.

Scanning
MTL Document Services utilize Kodak document scanners and associated software. Each scanner has the iThresholding feature, which automatically adapts the contrast thresholds to deliver the highest quality image from the document.

Other features include automatic deskewing and blank page removal, to maximize quality. The equipment can scan in both bitonal and full colour, and output to any industry-standard file format, to conform with BSI BIP0008:2004 requirements.

Indexing
Scanned images are subsequently indexed to a pre-determined specification, and if required run through an OCR process to make them fully searchable.

QC and Completion
After a comprehensive quality check of the images and index values, the images can be processed into any of our software retrieval packages. Alternatively, MTL can scan the images into a format that can be integrated into any third party software application the Client may already have installed.
