MTL Document Services install post-room application

A large Solicitors practice approached MTL Document Services to assess their document handling and storage situation. The practice operates from four sites, employing in excess of 250 staff, of which over 30 are fee earners.

Their Conveyancing department handles over 5000 incoming documents each day, which requires a large number of staff to open, sort and distribute the correspondence to each fee earner. The Senior Partners desired a method of streamlining this process, with the objective of getting documents to fee earners in a shorter timescale and therefore improve productivity and profitability. As a bi-product of this process, they would also reduce the volume of documents being archived, which currently stands at over 25 million pages.

After consultation and product testing, the Practice ordered a Fujitsu Fi 5750C document scanner and InputAccel software. The installed system operates in conjunction with their bespoke in-house case management software, allowing documents to be scanned, fully OCR'd and routed to the appropriate in-tray electronically. As a result, the paper trail has been eliminated and fee earners are able to access and react to correspondence more readily.
