MTL create digital library for Local Authority

The Coastal Defence department of a Local Authority contacted MTL and requested a consultation regarding their onsite archive. The archive dated back over 150 years and had a wide variety of document types and sizes, varying from books, bound reports, through to maps and large format plans.

Furthermore, some documents contained colour that needed to be captured, and others were so old they would require special handling to ensure they were not damaged.

The aim of the digitisation was to facilitate wider access to the material by making it available electronically via their intranet. Once collected by MTL, the documents were sorted into various document types and the scanning process undertaken.

The scanning of maps and large format plans was performed on a Colortac scanner. In some cases, the originals were so delicate they had to be placed into plastic sleeves prior to scanning.

The documents and books were scanned on separate Kodak production equipment, using autofeed and flatbed scanning respectively.

Post-scanning all documents were converted into PDF files, and renamed by a unique reference supplied by the Council. The images were then returned on a set of CDs and uploaded accordingly.

The goal of achieving a single retrieval portal for the wide variety of documents was successfully achieved. Retrieving documents is now a much speedier and efficient process and the original documents are no longer compromised by manual handling.
